How online booking works.
A client finds your listing, picks an open time and sends a request. You accept it in Cima, and it lands on your Google, Outlook or Apple calendar. Here's every step, for you and for them.
Free for one clinician, for good. No card. Front desk logins are free too. We're opening it to Texas providers now: claim your listing and we'll set up your booking with you.
Setting it up
Claim your listing
Find your name or program on Find Care and claim it. We check your Texas license or your program's record, then your listing is yours to edit: photos, a description, the insurance you take.
Start free booking
Booking runs on Cima EHR. We set up your free booking account when you claim your listing: you sign in with your email and a second step (a code or a passkey). It's free for one clinician, with no card and no time limit; front desk staff get their own free sign-ins. Clients never need an account. Your listing's "Book online" button then opens your booking page.
Set your hours
In Settings → Online booking, turn booking on, set each clinician's weekly hours, the kinds of visits clients can book and how long they are, how much notice you need, how far ahead people can book, and whether you're taking new clients. Booking only offers times inside those hours.
Connect your Google, Outlook or Apple calendar
Paste your calendar's private address into Cima, and it hides any time you're already busy there: the dentist, your kid's game, another job. Cima only reads when you're busy. It never changes your calendar.
- Google Calendar: Settings → your calendar → Integrate calendar → copy the Secret address in iCal format.
- Outlook: Settings → Calendar → Shared calendars → Publish a calendar → copy the ICS link.
- Apple Calendar (iCloud): share the calendar as a public calendar and copy its link.
See your visits in the calendar you already use
Cima gives each person a private calendar link. Add it to Google, Outlook or your phone (Add calendar → From URL) and every visit shows up there, kept up to date. It shows only "Visit" and the kind of visit, or the client's initials if you choose: Google, Microsoft and Apple don't sign HIPAA agreements, so client names stay in Cima.
When a client books
They pick a time
Your listing shows your next open times. They choose a kind of visit and a time, and leave their name, phone, email and, if they want, their insurance. If you're not taking new clients, the page asks new people to call you instead.
The time is held for you
The request holds that slot so no one else takes it. Your front desk and owner get an email that a request came in, and the client gets a message that you'll confirm.
You accept or decline in Cima
Requests wait on your Cima calendar. Accept, and it becomes a visit: the client gets a confirmation and reminders go out before the visit. (On Solo and up, a new client also gets their intake paperwork link.) Decline, and they get a polite note and the slot opens again.
You see your schedule
Every visit is on your Cima calendar, by day or week and by clinician, and in your Google, Outlook or Apple calendar through your private link.
Questions
What does it cost?
Nothing. Your Find Care listing is free, and so is booking: the Free booking plan covers one clinician, for good, with no card. If you want notes, insurance claims, e-prescribing and intake paperwork too, upgrade to Cima EHR Solo ($59 a month) any time in Settings → Plan. Your calendar and clients come with you.
Does it write to my Google or Outlook calendar?
No. Cima reads only when you're busy, from your calendar's private address, and gives you your own private link to see Cima's visits in your calendar. It never adds, moves or deletes anything in Google or Outlook.
Can clients book without me approving it?
No. Every online booking is a request until someone in your practice accepts it, so nothing lands on your calendar that you didn't agree to.
What do clients need?
Nothing but a phone or computer. No account, no app. They get their confirmation and reminders by text or email.
Is it HIPAA compliant?
Cima EHR signs a business associate agreement with every practice. Client details stay in Cima; the calendar links you add to Google, Outlook or Apple show only "Visit" or initials.
